Removing Personal Identifiers (PII) before scanning
How to strip names, email addresses, and employee IDs from manager texts to remain fully compliant with HIPAA and GDPR.
What is Personally Identifiable Information (PII)?
PII is any information that can be used to distinguish or trace an individual's identity, such as names, employee ID numbers, email addresses, phone numbers, or social security details. Scrubbing PII is a critical requirement for maintaining internal HR data hygiene and compliance.
How to De-identify Manager Drafts
Before pasting a draft into the scanning area, replace specific identifying tags with brackets. For example:
| Risky Input (Contains PII) | Compliant Input (De-identified) |
|---|---|
| "John Doe, your performance in the Sales team is dropping." | "[Employee], your performance in the [Department] is dropping." |
| "Send email updates to hr.manager@company.com" | "Send email updates to [HR Email]" |
| "Refer to case ID #98754 for details." | "Refer to case ID [Case Reference] for details." |
The Benefits of Anonymization
By scrubbing PII at the source, your saved records in the History dashboard become anonymous compliance tokens. Even if an unauthorized internal user gains access to your dashboard, they cannot trace the records back to specific individuals, dramatically reducing corporate data liability.
