HR Review Workflows & Case Lifecycle
Managing employee relations at scale requires strict workflow controls. Direct line managers, who are often not trained in employment law, should not unilaterally send sensitive disciplinary notices or warnings without HR oversight. Our review workflow introduces an audit gatekeeper model to intercept legal risks before they reach the employee.
Understanding Case Statuses
Every scanned draft exists within a structured lifecycle. Understanding these statuses is essential for team coordination:
| Status | Description | Authorized Action |
|---|---|---|
| Draft | The manager is writing or revising the communication. | Only editable by the author or assigned HR reviewers. |
| Needs HR Review | Submitted to the central HR queue for compliance analysis. | Locked for managers; HR can edit, comment, or approve. |
| Approved | HR has verified compliance. Ready to send. | Manager can copy and send. Logged as approved. |
| Needs Revision | HR flags concerns and returns to manager with instructions. | Manager receives notification and feedback to rewrite. |
How to Change Statuses & Submit
- From the case analysis page, locate the HR Control Panel sidebar.
- Select the appropriate status from the Status Transition dropdown.
- Click Update Status to save the change and trigger email alerts to the next assignee.
