How Handbook Grounding Works
Grounding guides our AI analysis nodes to read your uploaded handbook before suggesting rewrites. For example, if your company policy mandates a 2-hour notification threshold for calling in sick, the AI will automatically flag drafts that penalize managers who received notifications within that window. It also ensures the terminology in rewritten drafts matches your organization's standard titles (e.g., using "Leader" instead of "Manager" if that matches your vocabulary).
Step-by-Step Upload Guide
- From the admin dashboard, go to Settings -> Handbook Grounding.
- Click Upload PDF/TXT and select your official Employee Handbook.
- Our ingestion pipeline processes the document, indexing policies into a secure vector database isolated to your workspace.
- Under Mapping Options, toggle on "Ground scan analysis against company policies".

We recommend re-uploading policies whenever your handbook is updated or when state-specific employment laws shift. The vector database updates instantly, meaning new manager scans will reflect the revised guidelines immediately.
